Annual conference for higher education librarians

I am very much aware and appreciative of how much time and energy my clients put into their conferences and events, which are often a culmination of a huge amount of work. As your conference photographer, it’s my job to ensure that all that hard work is captured in a collection of great images. Unlike studio-based photography, which is very controlled, conference photography can be more of a challenge, but it’s one that I really enjoy!

With my unobtrusive reportage style I will capture the essence and atmosphere of your conference, supplying images of the speakers, delegates networking and coverage of any required additional events such as workshops and evening receptions. I will also capture images of your company branding and other details that are found around the venue.

My aim is to always ensure that the images from your event will be of the highest standard and professional quality. That means they can then be used for promotional purposes – to demonstrate your organisation’s reach and influence in your industry, for social media, and for creating a buzz that will attract new attendees to future events. Getting the right images at your conference with minimal impact on speakers and the audience is important to me. Evening receptions and other social events are also covered with due respect to your guests who are there to network and enjoy themselves. Although every conference is different, I will work with you before the event to ensure that you get what is required on the day. 

From experience I am very much aware that when the event goes live, organisers just want me to ‘get on with it’ - this is what I do! 

All my photography equipment is geared up for conferences, utilising wide-angle lenses to show off room setups and breakout activity, and telephoto lenses to capture all the on-stage action. With the right equipment, I can shoot from anywhere, which means minimal disruption to the actual event.  Although based in Lanark, central Scotland, I cover conferences across the UK.

Pricing:

As with everything that I do, I aim to be as up-front as possible with my clients - there's no hidden costs or extras:

  • Half day event: £390 (up to 4 hour coverage)
  • Full day event: £750 (up to 8 hours coverage)

What I do for you: 

Planning:

  • Before the conference we will discuss your ideas and requirements, and my mission will be to turn your wishes into amazing images.

Image Security: 

  • Once the event is over, your images will be saved securely on external hard drives in different locations, with extra encrypted copies secured in cloud storage.

Post Production:

  • After your conference, your images will enter post production where each individual image will be colour adjusted and edited to ensure that they meet my conference photography standards. 

High Resolution Images:

  • Once post production is complete, you will be presented with a password protected online gallery where you will find your high-resolution files available for download. You can then use these images for your own requirements e.g. company reports, literature, publicity, website; social media etc.

  • Work within your conference brief and event agenda
  • Visually document your conference showing your people, delegates and brand in the best possible light
  • Capture the rich diversity of your people and delegates
  • Whenever possible position speakers, delegates and brand in the same photograph
  • Aim to make your event look busy, informative and visually exciting

 

Why should you invest in a professional conference photographer?

  • All live events offer just one opportunity to deliver on quality and value. Stakeholders want to see how their money was spent, sponsors need to have confidence that it’s worth investing, and future delegates need to justify the time it takes to attend.
  • Your photographer needs to have a good understanding in advance of what’s required with minimal briefing, and they need to be an extension of your events organiser’s attitude, professionalism and behaviour, as well as being able to work effortlessly with all your team and venue staff. 
  • Running a conference is expensive, but worth it in terms of exposure for your company. However, as the costs mount up, it can be tempting to look for small savings. It isn’t unusual for business owners to try and save money on their digital photography but doing so would be a big mistake. There is an assumption that anyone can take great images, however, your staff should be busy with other tasks like networking and ensuring the comfort of your attendees. Hiring a dedicated conference photographer will free your team up to ensure the event runs smoothly on the day. Moreover, you can brief your hired conference photographer beforehand to make sure those vital shots are taken of your guest speakers, and informal shots of your guests enjoying the event.
